1. Cancellation by Clients

If you need to cancel your booking, the following cancellation fees will apply:

0-14 days or no-show 100% of total tour cost

All cancellations must be made in writing to [email protected]. The date of receipt of the cancellation notice will determine the applicable cancellation fee.

2. Special Circumstances

We understand that unexpected situations may arise. In the following special circumstances, we may offer more flexible cancellation terms:

2.1 Medical Emergencies

If you or an immediate family member experiences a serious medical emergency that prevents travel, we may offer a partial refund or credit toward future travel, subject to the following conditions:

  • Written notice must be provided as soon as possible
  • Documentation from a licensed medical professional is required
  • Insurance coverage should be claimed first, where applicable

Each case will be evaluated individually, and our decision is final.

2.2 Travel Advisories

If an official government travel advisory is issued advising against travel to Bangladesh or specific regions included in your itinerary after your booking is confirmed, the following options may be available:

  • Rescheduling your tour to a later date (within 12 months) at no additional cost
  • Credit toward a future tour (valid for 24 months)
  • Partial refund after deduction of non-recoverable costs

3. Cancellation by Bangladesh Tour Guide

We reserve the right to cancel tours under certain circumstances. If we cancel your tour, you will be offered the following options:

3.1 Insufficient Participants

If we cancel a group tour due to insufficient participants (typically less than 4 people), we will notify you at least 30 days before the tour start date and offer:

  • Transfer to another tour date or alternative tour (price difference may apply)
  • Full refund of all amounts paid
  • Credit for future travel (valid for 24 months)

3.2 Force Majeure

If we cancel due to force majeure events (natural disasters, political instability, epidemics, etc.), we will offer:

  • Rescheduling to a later date at no additional cost
  • Credit for future travel (valid for 24 months)
  • Partial refund after deduction of non-recoverable costs and expenses already incurred

4. Modifications to Bookings

4.1 Changes by Clients

If you wish to make changes to your confirmed booking:

  • Changes requested more than 30 days before tour start may incur an administration fee of $50 USD
  • Changes to tour dates requested within 30 days of tour start are treated as a cancellation and rebooking
  • Minor itinerary adjustments may be accommodated at our discretion, possibly with additional charges

4.2 Transfer to Another Person

You may transfer your booking to another person who satisfies all the conditions for the tour, subject to the following:

  • Notification must be given at least 14 days before the tour start date
  • An administration fee of $75 USD applies
  • Both you and the transferee remain jointly liable for payment
  • The transferee accepts all terms and conditions of the original booking

5. Refund Process

5.1 Method of Refund

Refunds will be processed using the same payment method used for the original transaction unless otherwise agreed. For payments made by:

  • Credit/debit card: Refunds will be credited back to the same card
  • Bank transfer: Refunds will be sent to the originating account
  • PayPal: Refunds will be processed through PayPal

5.2 Timing of Refunds

We will process refunds within the following timeframes:

  • For cancellations by clients: Within 14 business days of receiving the cancellation notice
  • For cancellations by us: Within 7 business days of the cancellation decision

Please note that while we process refunds promptly, it may take additional time for the funds to appear in your account depending on your financial institution.

5.3 Currency and Exchange Rates

Refunds will be processed in the same currency as the original payment. We are not responsible for any fluctuations in exchange rates between the time of payment and the time of refund.

6. Non-Refundable Items

The following items are non-refundable under all circumstances:

  • Travel insurance premiums
  • Visa application fees
  • Vaccination costs
  • Any personal expenses incurred in preparation for the tour

7. Unused Services

No refunds will be provided for any unused services or features of the tour package once the tour has commenced. This includes:

  • Accommodation not used due to early departure or late arrival
  • Meals not taken
  • Optional activities not participated in
  • Transportation services not utilized

If you are unable to participate in certain activities due to weather conditions, personal health, or other factors beyond our control, no refunds will be provided for these unused services.

8. Travel Insurance Recommendation

We strongly recommend purchasing comprehensive travel insurance that includes trip cancellation coverage. A good travel insurance policy can provide coverage for many circumstances that our refund policy does not, including:

  • Medical emergencies
  • Trip interruption
  • Travel delays
  • Lost or delayed baggage
  • Emergency evacuation

Travel insurance should be purchased at the time of booking to ensure maximum coverage.
